Health & Safety

As a trader, you have a responsibility for managing health and safety in your business. It is important to ensure the health, safety, and welfare of all employees and individuals who may be impacted by your business operations. Therefore, it is necessary to conduct a general risk assessment that identifies potential risks that may cause harm within your business.

The Health & Safety Executive (HSE) website offers guidance on the legal requirements for health and safety compliance in your business.

For more information, visit the HSE website at http://www.hse.gov.uk. Additionally, you can find an informative booklet on the HSE website titled "Health and Safety Made Simple" at http://www.hse.gov.uk/pubns/hsc13.pdf. To apply these guidelines in practice, please ensure you have read and understood all relevant information on health and safety management.

Documentation FAQ’s

  • Risk management is a step-by-step process for controlling health and safety risks caused by hazards in the workplace.

    1. Identify hazards

    2. Assess the risks

    3. Control the risks

    4. Record your findings

    5. Review the controls

You can find templates and examples here: https://insureourevent.co.uk/event-stall-holders-risk-management/

  • HACCP is an effective approach to ensuring food safety by identifying and managing potential hazards. Businesses should adopt food safety management procedures that are grounded in HACCP principles.

    To implement HACCP, businesses should:

Carefully examine their operations and identify potential risks to food safety

Determine critical control points where risks must be eliminated or reduced to safe levels

Develop contingency plans to address potential issues

Ensure that procedures are being followed correctly and effectively

Keep detailed records to demonstrate the efficacy of the procedures

It is crucial to implement food safety management procedures that are tailored to your specific business needs.

More advice on food safety management based on HACCP here: https://www.food.gov.uk/business-guidance/hazard-analysis-and-critical-control-point-haccp.ption.

  • When you start a new food business or take over an existing business, you must register with your local authority.

It’s free to register, and your registration cannot be refused.

You should register at least 28 days before opening. If you’re already trading and have not registered, you need to do this as soon as possible.

You can apply for this licence here: https://www.gov.uk/food-business-registration.

  • It’s a legal requirement that you are able to prove that you and your staff are adequately trained in Food Hygiene.

You can find food hygiene courses here: https://www.ncass.org.uk/training/food-hygiene/level-2/.

  • If you have a commercial kitchen, you have a legal duty to ensure that any gas appliances on your premises are checked and certified by a Gas Safe qualified engineer at least once a year.

Commercial kitchens are subject to rigorous regulation because of the ventilation required and fire risks if correct guidance isn’t followed.

Also, the equipment can become potentially hazardous if not maintained, so it needs to be regularly inspected for leaks and faults.

How often do I need to have my gas appliances tested?

It is a legal requirement to have your gas appliances checked and signed off by a qualified Gas Safe engineer at least once a year.

  • Portable appliance testing (PAT) is the term used to describe the examination of electrical appliances and equipment to ensure they are safe to use. Most electrical safety defects can be found by visual examination but some types of defect can only be found by testing. However, it is essential to understand that visual examination is an essential part of the process because some types of electrical safety defect can't be detected by testing alone.

We require all portable appliances on site to be PAT tested. Please provide an appliance list with relevant PAT testing certificates.

  • A food allergy chart is a template that you’ll use to record which foods on your menu contain one or more of the 14 named allergens.

In your food allergy chart, the top row will contain all 14 of the named allergens, while the first column will contain a list of all your menu items that contain any of these allergens. You will then tick the boxes that correspond with the allergens in those dishes.

You can use this template here: https://www.food.gov.uk/sites/default/files/media/document/allergen-chart.pdf.

  • You or a member of your staff must hold a personal licence if you sell alcohol from licensed premises, so that every sale or supply of alcohol is authorised by a personal licence holder.

You must be 18 years or older and hold a licensing qualification – for example the Award for Personal Licence Holders (APLH) Level 2.

Apply to your local authority to get a personal licence here: https://www.gov.uk/personal-licence-to-sell-alcohol.

IMPORTANT INFORMATION

  • It's important for traders to note that they will be charged per 16 amp plug, so it's essential to know your power requirements in advance and declare it when applying.

If you require power to trade, Bohemia Place Markets offers power supply to traders in the form of 1 x 16amp or 2 x 16amp plug sockets, as per their request when applying.

All electrical appliances used by traders must be PAT tested before use. You will be asked to submit your PAT testing as part of your application.

Traders will be expected to visually inspect the devices to ensure there is no exposed wiring, damage, disrepair, or broken casings. Any electrical devices found to have such issues must not be used and must be replaced.

Overloading of sockets is strictly prohibited, and the use of multi-way extension leads is not allowed.

Please note there is no power available for Artisan traders.

Lights are provided across the whole market during the markets.

  • At Bohemia Place Markets, we take food safety and hygiene very seriously. We expect all traders to take necessary precautions at every stage of their production chain to ensure the safety of the products they supply.

Our Market Management team reserves the right to conduct regular hygiene inspections at all market sites to ensure compliance with our standards.

To maintain high standards of hygiene, we recommend the following:

    • Use trusted sources for raw materials and ingredients

    • Utilise assurance schemes

    • Implement food safety management systems

    • Comply with food safety management standards

For more information on food safety and hygiene standards, please visit the Food Standards Agency’s website at http://www.food.gov.uk/the-website-of-the-food-standards-agency.

  • As a trader, it is your responsibility to ensure that your pitch is kept clean and tidy at all times, including any oil spills on the floor. Any equipment stored in the designated area during trading hours must be mobile and removed at the end of the day. Immediate action must be taken to remove any slip or trip hazards in this zone, and the area must be cleared at the close of trade.

All traders must dispose of their rubbish in a safe and clean manner using only the designated Bohemia Place Market Bins.

During trading hours, rubbish or recycling items should not accumulate outside your tent.

Please note that it is illegal to pour oil down the drain, and we strongly advise that you take any recycling home with you for proper disposal. Please be aware that any oil spills on the site will result in a charge of £50 to cover the cost of clearing the hazard, which must be paid in full before future trading at the market.

  • As a trader, it is your responsibility to ensure the safety of everyone on your pitch by adhering to The Regulatory Reform (Fire Safety) Order 2005. This involves identifying and managing potential fire hazards, as well as implementing appropriate fire safety measures.

If a fire breaks out, it is crucial to prioritise the safety of all individuals present. Call for assistance and/or raise the alarm, evacuate the area immediately, leaving all personal belongings behind. Dial 999 to contact the fire brigade and proceed to the designated assembly point in the Tesco car park.

Only tackle the fire if it is safe to do so and you are trained.

Even if you are able to extinguish the fire, it is essential to inform the Market Management Security team of the incident, including details of when and where it occurred. This will help to ensure that appropriate measures are taken to prevent similar incidents in the future.

  • Please note that our market events are outdoor events. We prioritise the safety of our traders and visitors during outdoor events.

Our on-site team is always prepared to deal with any unexpected weather conditions and has strict health and safety measures in place.

While we monitor the weather closely, we also recommend that all traders take necessary precautions to stay warm and dry. If there is a possibility of rain and wind, our site team will provide sides for tents to prevent any damage.

To minimise risks associated with adverse weather conditions, we request that all traders adhere to the following health and safety procedures:

    • Traders who use power must ensure that their equipment is stored under their tent at all times to keep it dry.

    • All traders should ensure that their electrical equipment is weather-appropriate.

    • All signs and menus must be securely attached to your tent.

We will monitor severe weather conditions on the day, and if the weather is extremely adverse and we think that this will make the event unsafe we may cancel the event.

Please check our website and Instagram @bohemiaplacemarket for updates on the day of the event.

  • It is important that all traders are on site and set up for the opening of the market. We also close the street to traffic at specific times to ensure the safety of our staff and traders therefore we specify “load in” times for our traders.

Load-in times vary based on the type of trader and the event. Please see the information below however for exact times please ensure you check your pre event email carefully.
